1. Who we are
Brightly Notes (“Brightly Notes,” “we,” “us,” or “our”) provides software that helps preschools, daycares, early-education programs, and individual caregivers create and share observation updates with families. This Privacy Policy explains what information we collect, how we use it, and the choices you have.
This policy applies to our website and the Brightly Notes application. By using Brightly Notes you agree to the practices described here.
2. Information we collect
Account information: when a school or caregiver signs up, we collect names, email addresses, and the details needed to set up an account, such as your program or school name.
Content you create: photos, notes, observations, child names, and class or group information that you upload or enter in order to build and send updates.
Family contacts: the email addresses you provide so we can deliver updates to the families you choose.
Usage and device information: basic technical data such as IP address, browser type, and how the product is used, which helps us keep the service secure and reliable.
3. Children’s information
Brightly Notes is designed for use by educators and caregivers, not by children. Any information about a child, including photos and notes, is entered by the adults responsible for that child’s care.
We act as a service provider to the schools and caregivers who use Brightly Notes. They are responsible for obtaining any consent required to photograph a child and share that child’s information with families. Our consent tools are provided to help, but they do not replace your own legal obligations.
We do not sell information about children, and we do not use it to build advertising profiles.
4. How we use information
We use the information we collect to provide and improve Brightly Notes: to create and deliver updates, authenticate users, provide support, secure the service, and communicate with you about your account.
We may use aggregated or de-identified data to understand how the product is used and to make it better. This data cannot reasonably be used to identify any individual.
5. How we share information
We share the updates you create only with the family recipients you choose.
We work with trusted service providers, such as hosting, email delivery, and analytics vendors, who process information on our behalf and are bound to protect it. We do not sell your personal information.
We may disclose information if required by law, to protect the safety of children or others, or in connection with a business transfer such as a merger or acquisition.
6. Data retention and security
We keep information for as long as your account is active or as needed to provide the service, then delete or de-identify it within a reasonable period, unless a longer retention is required by law.
We use industry-standard safeguards, including encryption in transit and access controls, to protect information. No method of transmission or storage is completely secure, but we work hard to protect your data.
7. Your choices and rights
You can access, update, or delete much of your account information directly in the product. You may also contact us to request access to, correction of, or deletion of your personal information, subject to applicable law.
Depending on where you live, you may have additional rights over your personal information. We honor those rights as required by the laws that apply to you.
8. Changes to this policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the “Last updated” date and, where appropriate, notify you. Your continued use of Brightly Notes after a change means you accept the updated policy.
